Zeus Athletics Operations Ltd. collects personal data essential for the safe and efficient execution of sports tournaments. This includes organizer contact information (name, email, phone number, company affiliation) collected during the booking process, and participant data submitted via team rosters. We strictly adhere to UK GDPR regulations regarding data minimization, collecting only what is necessary to run the event.

2. Participant Roster Management

When organizers submit team rosters, they act as the Data Controller, while Zeus Athletics acts as the Data Processor. Rosters typically include participant names and emergency contact numbers. This information is used exclusively for bracket management, live scoring identification, and emergency medical response during the event. Organizers must ensure they have consent from participants before providing their details to our platform.

3. How We Use Event Data

The data collected is utilized to: process bookings and manage payments; construct tournament brackets and schedule matches; operate live digital scoring systems displaying team/player names; communicate operational updates, venue changes, or weather contingencies; and deliver post-event media packages (photos and final leaderboards). We do not use participant data for unsolicited marketing purposes.

4. Third-Party Venue Partners

To facilitate tournaments, we must occasionally share necessary details with our trusted third-party venue partners. This is strictly limited to aggregate numbers for capacity planning, and where required by venue security protocols, a list of attendee names for access control. Venue partners are bound by confidentiality agreements and are prohibited from using this data for their own marketing.

5. Data Retention Periods

Organizer account information and booking history are retained for as long as the account remains active, facilitating recurring annual events. Participant roster data and emergency contact information are securely deleted from our active operational databases 30 days after the conclusion of the specific event, unless legal or insurance requirements mandate longer retention.

6. Organizer Rights & Subject Access

Under UK GDPR, organizers have the right to access, rectify, or request the erasure of their personal data held by Zeus Athletics.
